Records and Information Management (RIM) Specialist
Location: Warsaw
Position purpose:
This position will carry out the responsibilities of Records Coordinator for the country and for the business units we serve. High level accountabilities include alignment and compliance with RIM COE (Center of Expertise) policies, procedures and best practices; completing inventory control assessments and audits for all physical paper and electronic documents; provide RIM education training to Finance employees and applicable stakeholders.
Principal Accountabilities:
25% Records Inventory Management - Execute self-assessments for evaluation of current status of the RIM Program including creating and managing a paper and electronic inventory of active and inactive records within all systems (i.e. Versatile, Open Text SharePoint, shared drives, etc.). In addition, will work with each business to identify specific requirements for new activities utilizing templates and broad knowledge of RIM practices and procedures. Will develop reports to be utilized by senior team members and to identify potential areas for process improvements.
25% Process, Education and Training – Create process documentation for both standard and complex processes, and collaborate with team members to lead implementation of them. Educate all Finance employees and stakeholders on best practices procedures for records and information management on any media. In addition, maintain all procedures for internal processes.
25% RIM COE Alignment – This will include participation in all training provided, participation in Records Coordinator conference calls, monitoring of the Country Record Retention Schedule, implementing any changes that may need to take place due to new Finance business requirements or changes in legal or regulatory requirements, inform/discuss of any variance requests and ensuring all annual RIM COE goals are aligned and incorporated. Execute and finalize special RIM process changes or updates as identified.
15% Records Destruction - Process destruction of eligible paper and electronic records in accord with the destruction policy and ADR (Authorization for Destruction of Records). Manage both routine and more complex projects by building the project plan/schedule.
10% Compliance – Lead the Internal Control review for all RIM processes and evaluate compliance with RIM policies. Follow up for any non-compliance findings


Kwalifikacje
Requirements:
  • Bachelor's degree with an emphasis in Records & Information Management; or 2 years’ experience in a records and information management position or related field.
  • Self-motivated with excellent decision making and problem-solving skills.
  • Strong analytical skills used to determine inventory accuracy; eligibility for record destruction.
  • Ability to work independently with little supervision.
  • Demonstrated ability to handle confidential information.
  • Demonstrated understanding and commitment to internal controls.
  • Excellent verbal and written communication skills in Polish and English.
  • Ability to influence, train and educate stakeholders.
  • Excellent organizational skills and follow-up, strong sense of urgency, results oriented.
  • Database and spreadsheet application experience working in an environment that requires attention to detail.
  • Strong computer skills - Database management and proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Demonstrated ability to quickly learn and use multiple software packages including, but not limited to, Versatile and OpenText.
